How to send birthday emails
Our automation feature allows you to send birthday emails to your contacts if you gather and store their birthday dates.
If you don't have a birthday field on your list yet, you can open the list and navigate to the "Fields" tab. Once there, click on "Add field":
Next, add the field's label name, choose the "Date" type from the drop-down menu and click "Add."
You can add this field, for example, to your sign-up forms or landing pages so that your contacts can provide their birthday dates during the sign-up process.
If you have already collected the birthday dates, you can update your contacts through an import and upload the dates from your file to the birthday field on your list. Remember that dates are stored in the YYYY-MM-DD format, so make sure your data matches this format - it won't be imported otherwise.
Once everything is set up, you can now create a birthday automation.
Navigate to the "Automations" tab and create a new automation. Choose the connected list and make sure to enable the "Allow contacts to repeat" option - this will allow your contacts to go through the automation more than once:
Now, choose the "Anniversary of date" trigger:
In the trigger options, select the correct date field from the dropdown and choose when the automation should start:
For birthday automation, we recommend choosing the "on anniversary" option - this way, your contacts will receive the automation on the day of their birthday. You can also select "before anniversary" or "after anniversary" if you'd like to send the automation before or after their birthday.
You can also select a specific time for the automation or allow it to trigger based on the date your contacts were added to the list.
Click the "Save & close" button to save your trigger.
Now, all that is left is to add the "Send email" step to the automation and create your birthday email! Click on the plus icon and select the "Send email" step:
Once you click on that step, you'll see the "Setup" screen for your email. Here, you can type the name of the email (subscribers won't see it; it's for your reference), your sending from email address and name, as well as the subject line and preview text. Once you've done this, click on Otto on the right to choose the template you wish to use in your email.
You can choose any of our premade templates and adjust them to your needs. If you already created your own birthday template, you can find it in the "Yours" tab.
We also offer a premade "Happy Birthday" template in the "Inspirational" section; you can use the search bar to find it:
Once your template is ready, click Save & close. Now, you can either add more steps (for example, if you want to create a birthday sequence) or just start your automation by clicking on the "Start" button in the top-right corner of the automation editor screen.
That's it! Your contacts will now receive a birthday email on the date of their birthday.
